Privacy Policy

Plain answers about what personal data we hold, why we hold it, and the rights you have over it.

Who we are

Caltec Bahamas Ltd. ("CalTec", "we", "us") is an IT services firm based in Freeport, Grand Bahama, The Bahamas. For the personal data described in this policy, we are the data controller. If you have any question about this policy or about your data, emailsupport@caltecbahamas.com.

What this policy covers

This policy covers personal data we collect through this website (caltecbahamas.com), through our client portal (the CalTec Network, or CTN), and when you contact us by email, phone or in person.

It does not cover data we handle inside a client's own systems while delivering managed IT services. In that work the client remains the controller of its data and CalTec acts as a service provider (a data processor) under the terms of a signed services agreement, which governs how that data is handled. If you are a customer, employee or contact of one of our clients and have a question about data held in that client's systems, the client's own privacy policy applies.

What we collect, and why

If you just visit this website: almost nothing. The site has no account system, no contact forms, no analytics scripts and no advertising trackers. Our hosting provider keeps standard server logs (IP address, browser type, pages requested, timestamps) for security and troubleshooting. If you choose a light or dark theme, that preference is stored in your own browser and never sent to us.

If you email or call us: we receive your name, contact details and whatever you include in your message. We use this to answer you, to prepare a proposal if you asked for one, and to keep a record of the conversation. The legal basis is taking steps you requested before entering a contract, and our legitimate interest in running the business.

If you are a client on the CTN portal: we hold your name, role, company, contact details, portal login, invoices and payment records, proposals, signed contracts, and the contents of support tickets. We use this to deliver the services you contracted for, to bill you, and to keep the records the law requires us to keep. The legal bases are performance of our contract with you, compliance with legal obligations (such as tax and financial reporting), and our legitimate interest in administering client relationships.

Cookies

The public website sets no cookies. The CTN portal sets only the cookies strictly necessary to keep you signed in securely (session and security cookies). We do not use advertising, analytics or cross-site tracking cookies anywhere. Because there is nothing to consent to, we do not show a cookie banner. If that ever changes, this policy will change first.

Marketing

We only send marketing about our own services, and only to existing clients or to people who asked to hear from us. Every marketing message identifies us and tells you how to opt out, and you can opt out at any time by replying or emailingsupport@caltecbahamas.com. We do not sell, rent or trade personal data to anyone, for marketing or otherwise.

Who we share data with

We share personal data only with:

  • Infrastructure providers that host our website, portal and email, currently our web hosting provider (HostGator, United States) and Microsoft (Microsoft 365 services, United States);
  • Our bank and payment providers, when you pay us or we pay you;
  • Professional advisers such as accountants, auditors or attorneys, where needed;
  • Public authorities, where the law requires disclosure.

Each provider only receives what it needs to do its job, and we choose established providers with strong security practices.

Where data is stored

Our website, portal and email run on infrastructure operated by the providers above, located mainly in the United States. That means personal data you give us is transferred outside The Bahamas. We take that seriously: transfers happen only where they are necessary to perform our contract with you or to run the services you asked for, connections are encrypted in transit, and our providers commit to safeguarding the data they process for us.

How long we keep data

Enquiries: for as long as needed to answer and follow up, then deleted. Client records, invoices and contracts: for the life of the relationship, then for as long as Bahamian tax, company and financial reporting law requires (generally at least five years). Server and security logs: for short rolling periods. When data is no longer needed, we delete it or anonymize it.

How we protect data

Security is our trade. We apply the same discipline to our own systems that we sell to clients: encrypted connections, multi-factor authentication on administrative access, least-privilege access to client records, regular patching, and backups that we test. No system is perfectly secure, but if a breach ever puts your personal data at meaningful risk, we will notify you and the relevant authorities as applicable law requires.

Your rights

You can ask us, at any time and free of charge, to: tell you what personal data we hold about you and give you a copy; correct inaccurate data; delete data we no longer need to keep; restrict or object to particular uses of it, including direct marketing; receive the data you gave us in a usable format; or withdraw a consent you previously gave. Emailsupport@caltecbahamas.comand we will respond within a reasonable time, and in any case within the period applicable law sets.

We extend these rights to everyone we deal with, wherever you are. In The Bahamas you may also complain to the Office of the Data Protection Commissioner. If you are in the European Economic Area or the United Kingdom, you may complain to your local supervisory authority.

Do Not Track

Some browsers send "Do Not Track" or Global Privacy Control signals. Since we do not track visitors across sites at all, there is nothing for these signals to switch off: every visitor already gets the untracked experience.

Children

Our website and services are for organizations, not children. We do not knowingly collect personal data from anyone under 18. If you believe a child has given us personal data, contact us and we will delete it.

Changes to this policy

When we change this policy, we will post the new version on this page with a new effective date. For material changes affecting portal clients, we will also tell you directly.
